Within the LeaseWave fleet management software suite,a workflow-enabled process facilitates the administration of maintenance services on vehicles on fleet management contracts. The issuance of a maintenance purchase order (PO) is subject to a series of configurable checks and balances; via its capabilities as fleet maintenance software,the application substantively improves the operational and cost efficiency of the maintenance process.This includes ensuring that vehicle maintenance technicians are working within stipulated limits (defined by the lessor, lessee or both); maintenance history and preventative maintenance schedules are being considered; PO’s match up with incoming vendor invoices; and charge backs are duly billed back to the customer. Unlike most other fleet management software, LeaseWave maintains an audit trail of every PO issued, thereby building a detailed maintenance history of the vehicle.

Maintenance programs

    • Full maintenance: All charges borne by lessor for a monthly fee
    • Managed maintenance: All charges passed through to customer
    • Selective maintenance: Most services borne by lessor, but not all (ex: glass)
    • Integrate with other third party systems related to fleet maintenance software
  • Use the LeaseWave fleet management software Rule Engine to build “hybrid” maintenance programs
  • Different units belonging to same customer can be under different types of maintenance programs
  • Default in a fee if vendor is not “preferred” and allow for override

Process controls

  • Define approval limits for vehicle maintenance technicians
    • Limits can be internally determined, triggering notifications to senior technicians / account managers
    • Limits can be stipulated by customer requiring explicit authorization

  • Prevent unnecessary maintenance work on units due to be replaced or reaching term
  • Provide 3600 maintenance history access to assist with decision making
