Fleet Card Programs

Via its fleet software capabilities, LeaseWave allows users to manage the creation, issuance and administration of fleet cards. As a fleet management solution, the system generates card numbers (through the use of standard credit card algorithms) for both existing and pre-ordered vehicles. Card information can then be exported, using industry-standard XML interfaces, to embossers. Once active in the system, the entire card life-cycle can be managed by the fleet management system, including card deactivation (owing to loss, theft, termination, etc.) and card replacement (owing to damage, unit replacement, etc.).

The fleet management solution supports card programs where the lessor is issuing its own cards or piggy-backing off an externally-administered program. It is also possible to manage services with no card program, if desired.

Card creation

  • Create cards (for fuel, maintenance, license management, etc.) one-by-one or en masse
  • Generate unique numbers for each card using standard credit card algorithms
  • Create cards for existing (purchased) units and/or pre-ordered units
  • Generate industry-standard interfaces for embossers once a card is created in system
  • Integrate with third-party applications / external fleet software to generate cards
  • Choose to track (but not generate) cards when working with an external card program
    • External card programs can be issued by third party merchants
    • System can piggy back off lessee-administered programs

Card management

  • Assign cards to vehicles one-by-one or en masse
  • Support situations where multiple drivers share a vehicle by assigning multiple cards to the same unit
  • De-activate cards one-by-one or en masse and track the reason for de-activation
  • Replace card one-by-one or en masse and track the reason for the replacement
  • Replace cards on a group of vehicles coming off a program easily
  • Maintain most meticulous audit trail possible on all transactions against card
    • Fleet management system tracks every field of information every time a key attribute of the card is changed
  • Integrate with third-party applications / external fleet software to manage card administration
