Fleet Management: Maintenance Services

The management of vehicle maintenance services forms the centerpiece of most fleet management product offerings. To this end, the LeaseWave® Fleet fleet management software system allows users to comprehensively manage and track the administration of maintenance work on assets through the issuance of maintenance purchase orders (PO’s).

The creation of a maintenance PO in the fleet management system can be subject to a series of checks and balances to ensure, among other factors that can be monitored, that vehicle maintenance technicians are working within stipulated limits, vehicle maintenance history and preventative maintenance schedules are being carefully considered, PO approvals match up with vendor invoices, vendor discounts are being realized, etc. These controls work to improve the cost-efficiency of the fleet management process; the resultant savings can, in turn, be shared with the customer.

Equally important, based on the type of maintenance that the customer has signed up for (“managed”, “selective”, “full”, etc), the LeaseWave® Fleet fleet management system automatically determines whether the maintenance work should be charged back to the customer or not. Non-preferred vendor fees, if applicable, can also be charged from within the maintenance PO sub-system.

The fleet management software system maintains complete history and audit-trail of every single PO ever issued. This helps with the creation of detailed maintenance history records for each vehicle. Furthermore, once issued, a PO automatically generates the appropriate receivables from the customer and the payables to the vendor.

  • Administer maintenance services on vehicles through the LeaseWave® Fleet system’s maintenance PO system
  • Generate maintenance PO’s for regular wear and tear, repair and preventative maintenance work
  • Generate maintenance PO’s for accidents and associate an accident instance with the PO
  • Generate reconditioning PO’s for vehicles returned to stock/inventory
  • Ensure, that fleet management services are carefully rendered by using a series of checks and balances, that:
    • Vehicle maintenance technicians are working within stipulated limits
    • Vehicle maintenance history is being carefully considered such that, for instance, brake pads just replaced last month are not being re-replaced again this month
    • Preventative maintenance schedules are being recommended
    • PO approvals match with vendor invoices
    • Vendor discounts are being fully realized
  • Charge non-preferred vendor fees to the customer, wherever applicable
  • Determine which PO line items are to be charged back to the customer based on user-defined business rules, such as the type of maintenance services provided (managed vis-ą-vis full)
  • Automatically generate the appropriate receivables to customers when a PO is closed
  • Automatically generate the appropriate payable against the vendor when a PO is closed
  • Automatically generate detailed vehicle maintenance records when a PO is closed
  • Report on any savings made by vehicle maintenance technicians to customers by comparing PO-requested amounts to PO-approved amounts
