Fleet Management: Customer Invoicing

The LeaseWave® Fleet fleet management software system offers users a powerful and sophisticated tool to generate customer invoices; for lessors, this is a common functionality used by both the LeaseWave® Portfolio and LeaseWave® Fleet systems. Invoices can be generated at the customer-level, the unit-level or for a group of units belonging to one customer. A digital copy of every invoice that is generated is stored in the system (in PDF format). This allows users to create duplicate invoices very easily, thereby facilitating superior account history maintenance and collections functionality. The system also has the capability to automatically email invoices to customers, as required.

The LeaseWave® Fleet fleet management system comes with a standard format for fleet and fleet leasing invoices. Each invoice has 3 components:

  • A summary level invoice for the entire billing group;
  • A cross-tab, summary level addendum for each unit; and
  • A detailed breakdown of each receivable for each unit.

Because all reports are generated using Crystal Reports 9.2, LeaseWave® Fleet invoices can be easily customized and private-labeled, per the requirements of fleet management company or lessor. Multiple customer-specific formats can also be maintained.

  • Generate invoices at the customer-level, unit-level or for groups of units belonging to a single customer
  • Automatically store digital PDF copies of each invoice generated in the system
  • Create duplicate copies of old invoices by accessing the digital archive of invoices
  • Configure the invoicing sub-system to email out invoices to customers, if so desired
  • Use LeaseWave® Fleet’s standard fleet and fleet leasing invoices to generate detailed statements, as follows:
    • Generate summary level invoices that have one line item for each charge type for the entire billing group
    • Generate cross-tab, rolled up addendums that summarize the charges for each charge type, per unit
    • Generate detailed addendums that list out, in individual line-items, each charge for each unit
  • Use the power of Crystal Reports 9.2 to create customized and/or private labeled invoices
